BROADCAST BILLING COORDINATOR

Reports to: Billing Manager

Responsibilities

Essential Duties and Responsibilities

  • Collate all invoices across National & Local Broadcast media each month and upload EDIs to SBMS (Strata) for Matching and/or discrepancy referral to buyers concerned for quick resolution.
  • Manually enter the Station and Network invoices that are not programmed for electronic transfer.
  • Check all resolved discrepant invoices daily in SBMS to prepare for matching and clearing.
  • Make sure that draft bills are pulled in a timely manner for both progressive and reconciliation billing clients. Work in close coordination with buyers and strategists to make sure billing deadlines are met.
  • Send out notification of missing and/or discrepant invoices starting at the end of the 2nd week to inform buyers, as well as request that they obtain copies of the missing invoices.
  • Collate all “matched and cleared invoices” and file them in their respective folders in preparation for billing reconciliation.
  • Input “matched and cleared” pub invoices in the A/P module in Advantage for vendor payment.
  • Assist with month-end close procedures.
  • Assist in executing day-to-day office administrative duties in the department and other duties assigned.

Qualifications

  • Solid internship background or some working experience in accounting or marketing is preferred
  • Track record of success throughout college career and previous employment
  • Proficient at Excel, Power Point and Word
  • Proficiency in Strata and Advantage software is a plus
  • Strong mathematical ability
  • Self-motivated, cooperative and flexible
  • Able to work successfully with teams, handling multiple projects and meeting tight deadlines under pressure
  • Detail oriented and organizational skills a must
  • Develop working relationships internally across departments and externally with vendors

Communication Ability

  • Ability to read, comprehend and write simple instructions, short correspondence, and memos.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Reasoning Ability

  • Ability to apply common sense understanding to carry out detailed and sometimes involved written or oral instructions.
  • Ability to add, subtract, multiply and divide numbers. Ability to perform these operations using units of American money and weight measurement, volume and distance.
  • Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

  • Personal Computer proficiency; MS Office preferred including MS Outlook.
  • Must have strong proficiency in Excel.

Work Environment

  • Normal office environment. Required to work on-site to provide support.

Education

  • Bachelor’s Degree or concentration in business admin, finance or communications preferred
